Head of Projects/Chief of Staff

We are seeking a highly organised and detail-oriented Head of Projects/Chief of Staff to support a Principal of a family office based in Central London. This role requires exceptional communication skills, a high level of organisation, and a talent for synthesising information.

Job duties
Responsibilities of the Head of Projects/Chief of Staff for the family office based in Central London include:
Principal Support:
- Manage the Principal’s daily schedule and project-related workflow
- Prepare and present information in an easily consumable format (e.g., PowerPoint, property and project reports)
- Anticipate and proactively address the Principal’s needs
- Facilitate decision-making by presenting structured options and recommendations
Project Coordination:
- Oversee and coordinate multiple projects, including construction and development initiatives
- Assist with recruiting and managing project managers
- Ensure timely task completion and adherence to deadlines
- Hold external vendors accountable for delivering within agreed timelines
- Provide regular status updates in the Principal’s preferred format
Communication:
- Serve as a liaison between the Principal and stakeholders
- Draft correspondence and documents on behalf of the Principal
- Ensure clarity and consistency in all communications
Meeting Management:
- Prepare for meetings by ensuring proper setup and documents are ready in advance
- Attend meetings and take minutes as needed
- Follow up on action items with stakeholders
Information Gathering & Management:
- Analyse and synthesise complex information from various sources
- Create standardised reports and presentations for the Principal
- Maintain an organised system for accessing key project information quickly
Process Improvement:
- Identify opportunities to streamline operations
- Implement systems to track progress and measure success
- Refine information presentation methods based on feedback
Office Management:
- Ensure the smooth running of the office, including maintenance and onboarding of new team members.
Candidates must be/have:
- A Bachelor’s degree in Business Administration, Communications, or related field
- 5-10 years of experience in Executive Support, Project Management, or similar roles
- Experience within family offices or high-end residential environment
- Exceptional organisational skills and strong attention to detail
- Advanced proficiency in Microsoft Office Suite, particularly Excel and PowerPoint, and management tools (e.g. Gantt charts)
- Strong interpersonal and communication skills, both written and oral
- Ability to synthesise complex information into clear, concise formats
- Resourceful, collaborative, and able to work directly with high-net-worth individuals
- Acts with authenticity, discretion, and integrity
- Adaptable to the Principal’s work style and preferences
- Self-starter who is results-driven and accountable
- Ability to manage multiple tasks in a fast-paced environment
- Resourceful in solving complex problems and assessing information credibility
Hours
Full-time.
Location
Based in the family office in Central London.
Salary
£125,000 – £135,000, depending on experience and prior earnings.
