Personal Assistant

Overview

Our new client, a dedicated philanthropist, is seeking a dynamic and proactive Personal Assistant to support their dynamic professional activities and busy personal schedule.

The Principal is involved in various impactful non-profit initiatives, collaborating with changemakers and partner organisations, and frequently speaking at global events on impact and philanthropy.

The position will focus on assisting the Principal in her work as a social entrepreneur, committed to impact, philanthropy, education, and creating opportunities for the next generation of wealth holders.

In addition to professional responsibilities, the assistant will manage various aspects of the Principal’s personal life. This position requires someone organised, resourceful, and able to handle a wide range of tasks with discretion and efficiency. They must also be able to thrive in a fast-paced, collaborative and energising environment.

The role will start remotely from home (based in London), before transitioning to a hybrid/office-based setup. Daily check-ins will be required with a 30-minute meeting in the morning and evening to ensure alignment and progress.

Job duties

Responsibilities of the Personal Assistant to Principal in Central London:

  • Oversee the Principal’s calendar, ensuring appointments, meetings, and calls are scheduled efficiently
  • Schedule meetings and calls, acting as gatekeeper to confirm all meetings are aligned with priorities and ensuring she is fully prepared for each interaction
  • Handle incoming and outgoing communications, including email inbox management and LinkedIn messages
  • Organise all aspects of travel, including booking flights (savvy with credit card points), hotels, visas, and transfers, ensuring all details are arranged in advance
  • Assist with occasional LinkedIn postings, including sharing events the Principal speaks at, workshops she runs, or conferences she will attend
  • Research attendees and arrange meetings in advance before, during, or after events
  • Attend meetings and take detailed notes, ensuring action items are recorded and followed up
  • Occasionally arrange events, including managing logistics
  • Oversee the tracking of expenses and review/approve for payment
  • Assist with various projects, offering organisational support as required
  • Play an active role in strategic planning
  • Implement and maintain organised virtual filing systems (Dropbox, Google Drive, etc.)
  • Manage the coordination of housekeeping visits, oversee personal appointments such as physiotherapy sessions, and liaise with caterers for occasional dinner parties/events
  • Run occasional personal errands
  • Provide general administrative and organisational support as needed

Candidates must be/have:

Qualifications & skills 

  • Relevant experience as a PA or EA working at a senior level
  • Degree educated – would be desirable
  • Knowledge of social impact initiatives, philanthropists, and high-profile change makers is preferred, with a passion for supporting such causes
  • Outstanding organisational, time management, attention to detail and problem-solving abilities
  • Proficient in Microsoft Office Suite and Google Suite
  • Proactive in planning and managing complex agendas
  • Limited travel availability, with a willingness to travel occasionally if necessary
  • Occasional availability outside of office hours to meet urgent needs
  • Excellent proofreading and professional writing skills
  • Fluent in spoken and written English, with additional languages a bonus but not required
  • Equine knowledge a plus but not required

Hours

Full-time, Monday – Friday.

Location

Initially home based (applicants must live in London), before transitioning to a hybrid/office-based setup.

Applicants must live within a commutable distance of South Kensington.

Salary & Annual Leave

£50,000 – £65,000, plus discretionary bonus.

Annual Leave: 20 days + 8 UK Bank Holidays (increased to 24 days + UK Bank Holidays after one successful year in the role)
